host manual English Chinese exchange club

Post by 88922493 »

So you want to be the host of ECEC

1. this is a rotational position, in which volunteers who pass the interview host in turns.
2. If you are interested in this position, send an email to dengyiyang@gmail.com with a video of your introduction in mandarin and English or a link to it. Details of requirements down below.
3. This is a video for all the zoom actions you will need to take in meeting, including breakout room usage, removing zoom bombers, disabling certain tools and more: =============

what will be required of me?

Being a host isn't as easy as most of us would think, first of all we have to greet everyone as they come in an orderly fashion, this is an essential step of making participants feel at home. Make sure every participant turns on their camera (or they might be zoom bombers) else deny them access to breakout rooms. Make sure that they change their zoom aliases (see zoom intro vid)
The second are the house rules in the English Chinese exchange club (ECEC), we have three periods of time,

Greet newcomers and introductions (both ways, introduce the group and tell them to introduce themselves, but only for a bit, only a 2-3 people) 5-10 min Main session
First session (English)......................................................30 min...........Breakout rooms
Rest(topics) (return to main session)....................................5-10 min.........Main session
Second session (Chinese)+ basic Chinese class.........................30 min...........Breakout rooms
Rest (share group QR code etc.) (return to main session)............5-10min.........Main session

Third session (whichever language) (participants can choose their rooms) The rest of the night Breakout rooms (no need to return everyone to main session)
---------------------------------- Switch your phone audio off and go to bed or hang out in breakout rooms with the rest of the guys.

once we enter the meeting, we wait about 5 minutes until there are an adequate amount of people (20 or so), then we allocate the participants into breakout rooms (3~4 per room,) try to deal the rooms with equal amounts of Chinese speakers and Non Chinese (this will be easy as you only need to look at the first word in their zoom name)in the first session, which lasts for half an hour. then the second and the third are the same. every 30 minutes we have 10 minutes to take a break from the intense conversations of the breakout rooms and come back to the main session where two things will happen listed below:

It is your job as the host to entertain and supply topics to everyone, tell an interesting story or experience that might inspire conversations. Or ask everyone questions that may help with the flow of conversation (you have <=10 minutes as to not stray everyone form the talking.) NO racial, sexist topics, not much politics………and you should forbid anyone else from doing so.
One final job is to share our groups QR codes, website and other notices which are in the folder (), so that newly arrivals can stay in contact.

If you are still unsure, you can watch one of our recorded sessions (), oh and be sure to record sessions.
